Use of Images and Video Recordings

1. Purpose of This Policy

This Privacy Policy outlines how the Provider collects, uses, stores, and shares photographic images, audio recordings, and video footage (“Media”) captured during any event, course, training session, or related activity (“Event”).

 

2. Collection of Media

The Provider may capture Media during the Event for the following purposes:

a. Documentation of the Event and its activities;

b. Marketing and promotional use, including but not limited to websites, brochures, social media platforms, and advertising materials;

c. Internal training or quality-assurance purposes; and

d. Any other use expressly communicated to Participants in advance.

 

Media will be collected in a manner that is reasonable, respectful, and consistent with the nature of the Event.

 

3. Consent

By attending the Event, Participants acknowledge and consent that:

a. They may appear in Media captured by the Provider; and

b. Such Media may be used for the purposes listed in Section 2, unless the Participant has provided written notice requesting exclusion.

 

Participants who do not wish to be photographed or recorded must notify the Provider in writing prior to the start of the Event. The Provider will make reasonable efforts to accommodate such requests, including assigning seating or participation areas that are outside the primary filming or photography zones.

 

4. Use and Disclosure of Media

Media may be:

a. Published or reproduced for marketing, promotional, or informational purposes;

b. Shared on the Provider’s official digital and print channels;

c. Provided to third-party service providers (e.g., photographers, media agencies) strictly for the purposes of producing or distributing content on behalf of the Provider.

 

The Provider will not sell Media to third parties.

 

5. Storage and Retention

Media will be stored securely using reasonable technical and organizational safeguards.

Media may be retained by the Provider for as long as is necessary to fulfill the purposes outlined in this Policy, unless a Participant requests removal or deletion pursuant to Section 6.

 

6. Participant Rights

Subject to applicable law, Participants may request:

a. Removal of identifiable images or video footage from the Provider’s public platforms;

b. Deletion of Media held by the Provider;

c. Access to Media in which they appear; or

d. Restriction on future use of their likeness.

 

Requests must be submitted in writing. The Provider will comply within a reasonable timeframe, except where retention is required by law or where removal is impracticable (e.g., mass-distributed printed materials already in circulation).

 

7. Third-Party Photography and Recording

Participants are advised that other participants may take their own photos or videos during the Event. The Provider is not responsible for Media captured or shared by third parties not acting on behalf of the Provider.

 

8. Amendments

The Provider reserves the right to revise this Policy at any time. Updated versions will be made available upon request or posted on the Provider’s official
